Pre-Event Checklist

Everything we need from you, tagged by priority and deadline.

Heads up
All required items should be submitted at least 7 days before your event. Style references should arrive at least 10 days out so we can tune the drawing algorithm and run test outputs.
  • Event brief — date, venue address, approximate guest count, event hours

Event Day Timeline

What to expect from setup through teardown.

T-minus 60–90 min
Operator arrives for setup & calibration
Robotic arm is assembled on its table, connected to power and laptop, calibrated with a test drawing, and pens and paper loaded. We need unobstructed table access during this window.

15 min before doors open
Final walkthrough & sign-off
Operator reviews the station layout with your event lead. Confirm guest seating position relative to the camera, queue approach, and sample display of completed portraits.

Event hours
Drawing Bot is live — guests queue for their portrait
Each guest sits briefly while the operator captures their photo. The AI converts the photo to a line drawing, and the robotic arm draws it on paper — fully visible to the guest and onlookers.

Per portrait
~4–6 min drawing time
A standard A5 portrait in fine-line style draws in 4 min. Larger A4 or more complex designs take up to 6 min. Expect approximately 8–12 portraits per hour under typical event conditions.

Post-event
Teardown & leftover material handoff
Teardown takes approximately 30 minutes. Unused paper and pens are left with you. If digital delivery was enabled, the scan gallery is published within 24 hours.
Throughput planning
For a 3-hour event with 120 guests, the Drawing Bot can serve roughly 30–36 guests (about 25–30% of attendees). This is intentional — the queue and spectacle are part of the experience. Consider pairing with another LeRobotBooth activation if you need broader coverage.

What guests see
The arm draws in full view. Guests and onlookers can watch every stroke — this live theatre is the primary engagement driver. The operator briefly captures the guest's photo (face only, no body camera needed), and the arm begins drawing within seconds.

Art Style & Branding

Style direction, logo integration, and paper/medium choices.

The AI drawing algorithm is calibrated per event to match your chosen aesthetic. All styles produce single-colour line art drawn by the robotic arm.

Fine-line portrait
Clean, precise contour lines. Realistic proportions. Best for corporate and formal events. Works on smooth white paper.
Sketch / gestural
Loose, expressive strokes with cross-hatching. Slightly artistic feel. Good for creative brand events.
Caricature / exaggerated
Slightly amplified facial features for a fun, playful result. Popular at social events, weddings, and festivals.
Minimal / outline only
Single continuous contour, no hatching. Ultra-clean, graphic look. Great for design-forward brand activations.
What to send us
  • 3–5 reference portrait drawings or illustrations that capture the style you want
  • Any style descriptors: "realistic," "fun," "line-art only," "no cross-hatching," etc.
  • If you have a specific artist or illustration style in mind, name it — we'll do our best to calibrate toward it
We'll send 2–3 test portrait outputs for your approval before the event. One round of style revisions is included.
Logo Integration on Drawings #logo-on-drawing

Your brand logo or event name can be incorporated into each drawing. Options:

  • Corner logo stamp — small logo drawn by the arm in a bottom corner. Subtle and elegant.
  • Text signature line — event name, date, or a short message drawn in a script or block font below the portrait. Most popular.
  • Pre-printed header/footer — we print the paper with your logo/event name before the event; the arm draws the portrait on top. Best for heavy branding requirements.
  • No branding — pure portrait. Guest focus, no brand elements on the drawing itself.
Logo file requirements
For arm-drawn logos, supply an SVG with simple outlines — no fills, no gradients. Logos with fine detail below 1 mm will be automatically simplified. We'll share a preview of the drawn version before the event.

Pen options: black fine-line 0.3 mm (standard), black marker 0.5 mm (bolder lines), sepia / brown ink (vintage look), white pen on dark paper. One pen type is selected per event.

Guest Experience

Portrait pickup, presentation, and optional digital delivery.

Every guest leaves with a physical, one-of-a-kind drawing. The default flow:

Guest sits (~1 min)
Operator captures a brief photo
The guest sits or stands in front of a neutral backdrop (operator brings a portable backdrop). One clear photo is taken; no pose coaching needed.

Processing (~30 s)
AI converts photo to line-art path
The software generates the drawing path. The guest can watch a digital preview on the operator's laptop screen before the arm begins.

Drawing (~4–6 min)
Robotic arm draws the portrait live
The guest watches — this is the centrepiece moment. Onlookers gather naturally. The arm completes the drawing stroke by stroke. No intervention is needed unless a pen runs dry.

Pickup
Guest receives their portrait
Operator hands the drawing to the guest, optionally sleeved in a clear protective envelope or card frame. Guest keeps a permanent, hand-drawn keepsake.
Optional Digital Delivery #digital-delivery

Digital delivery is not included by default but can be enabled on request. Two options:

  • Email scan: Operator photographs or scans each completed drawing at the event and emails the image to the guest. Requires internet and SMTP credentials (same as robot photobooth guide §4). Add-on fee applies.
  • Post-event batch scan: All drawings are professionally scanned after the event and uploaded to a gallery. Guest gallery link is shared via your communication channels. Better quality; no live email at the event.
Most clients skip digital delivery
The physical drawing is the keepsake. Most guests find the tangible, one-of-a-kind nature of the drawing more meaningful than a digital scan. Digital delivery adds logistics; only enable it if your event strategy specifically requires it.

Privacy & Data

How guest photos and data are handled during the drawing process.

Guest photos taken by the operator for the drawing process are used only to generate the portrait path. They are processed locally on the operator's laptop and not transmitted to any cloud service unless digital delivery is enabled.
